SYNOPSIS

The title of my project is “AUDIT FIRM MANAGEMENT SYSTEM”. This project is done for “M/S K.S.RAMAMURTHY & CO”. The main aim to develop this project is to reduce the clerical work, to avoid the human errors and to save our precious time.

The Audit firm has been run for the past 15 years. It is the Partnership audit firm. and the partners are CA.K.S.Ramamurthy F.C.A DISA, and CA K.Raju F.C.A.

In the existing system, the firm having some drawbacks such as manual errors, time consumption, difficulties of handling data, etc. these errors can be reduced in my proposed system.

INTRODUCTION

1.1 Organization Profile

M/s K.S. Ramamurthy and Co is a Partnership audit firm, run by the Chartered Accountants CA.K.S.Ramamurthy F.C.A., DISA and CA.K.Raju F.C.A. They are the partners of the firm.

They provide all sorts of chartered accountant services related to accounting, auditing, business process outsourcing and taxation services.

The firm is located at the heart of the industrial city Coimbatore which is known as the Manchester of South India 12 – E – Thirumugam Nilayam, West Power House Road, Tatabad.

CA. K.S.Ramamurthy is qualified for information system audit and Computerised Auditing.

The staff strength of the firm is nine includes one Audit Manager three Audit Assistants and five student trainees.

1.2 About The Project

The project work is titled as “Audit Firm Management System”. By this system it hopes to reduce the manual work, should provide security, provide storage facility, easy to retrieve the data, avoid manmade errors and it is to handle the data.

This project is a comprehensive office automation tool for Chartered Accountants and it assists, enables and empowers Chartered Accountants with Information Technology to effectively manage their profession. All administrative activities involving client, staff and work management is integrated by this project

This is helpful to organize client information, plan audit, regulate work, and manage billing, administrative activities. By facilitating real time online processing, the software contributes significantly to instant and informed administrative decisions. It reduces manpower dependency, enables office automation and provides a means for cost cutting. The unique modular construction of the software helps to meet the challenging demands.

This system is developed with the Windows Xp Professional as the Operating System, Visual basic 6.0 as Front end Ms-Access as Back end.

Purpose of Personnel Module

Growth in audit profession is achieved by rendering fast efficient service. Manpower is the most dynamic ingredient in our services. CA firm have to be dependent on this power. At the same time CA firm have to be good managers of this power. To render better service to the clientele CA firm have to delegate the task to staff. When CA firm must have proper control without compromising in efficiency and quality. This module is designed in such a way to have all the details of personnel, their abilities and to track their performance. The payout to human resource forms the major part of our service cost. This module coupled with job card module helps in analyzing manpower cost and Efficiency

Purpose of CRM Module

CA firm receive lot of books, records and documents from clients for conducting the audit and return them after verification. The documents and records are important and valuable. If there is no proper control on receipts, issue and store keeping, CA firm will end up in trouble due to mixing up and loss of records. This should not happen to a C.A. who advocates systems at the clients place. Keeping in view of the importance of this activity, this module has been designed in such a way to keep track of all the records received from and returned to clients. It also helps to maintain the day-to-day stock of the records.

Visual Basic 6.0

Visual Basic 6.0 is a 32 - bit application learning edition is the least expensive; it includes the core visual control grid, outline and bound controls.

Professional edition includes everything in the standard edition, it also contains come collection of additional controls, including 3D controls, an animated button control, a communication control, Internet controls and many more. The professional edition has the important capability of creating Active X control and Active X component application. The enterprise edition includes everything in the professional edition plus as object, Automation manager, component manager, visual source safe database management tools, client/server development tools and more.

Microsoft Visual Basic 6.0 is the quickest and earliest way to create application for Microsoft windows operating system. The Visual Basic programming system allows creating attractive, useful and efficient applications that fully exploits Graphical User Interface (GUI). We can create the GUI for our application by drawing object in a graphical way. We can set the properties on the objects to refine the appearance and behavior.

Visually design Windows and Applications

The Toolbox, project explorer, properties windows and other tools are visually designed to create an application, so that it is very helpful to the users.

Interactive Development Environment

This is an added advantage of Visual Basic Editor, It is called interactive Development Environment because all tasks done in the one application. It means that when we create a COBOL Program, we need one text editor to edit the coding then we need another executable file COBOL.EXE to create an Object for our COBOL Program then it will run by the RUNCOB.EXE program. It is very monotonous, but we invoke this Microsoft Visual Basic Software it consists all executions like editing, debugging, running the program in itself.

Simplified Debugging

VB 6.0 provides the simplified debugging. Its Event driven concept is flexible for the programmers in application development. VB 6.0 Provides the Break Point facility. It is easy to eventually “Pause” your application while running. Simply add a breakpoint to the line of code that you want to examine more closely, you can step through each line of code and examine the state of all variables as the code execute. This is incredibly useful for tracking down bugs.




Intellisense

This is one of the most popular features of visual studio that can save your countless hours over the course of a project. Intellisense is a features that provided statement completion as you type for accessing properties, methods and events, upon typing the name of an object, typing dot “.” will cause a popup list to appear displaying the available elements.

Visual Data Designer

Visual Studio have one built in Data Report designer called Visual Data Designer it consists Data Environment and a data report designer which is very useful to retrieve the data stored in the Databases. The VB 6.0 coding is helping us to input the data to the back end (Database). The Visual Data Designer is helping us to take the output from Database.


MS-ACCESS FEATURES AND ADVANTAGES

MS-ACCESS is a powerful Desk Top Database management system. It supports GUI features and an entire programming language, VBA (Visual Basic Application).

Access is easy to use just in a short period beginners can be able to manage their own data. In access the database means a collection of tables that holds data. It collectively stores all the other related objects such as queries, forms and reports that are used to implement the database management function affectively.

The Access database can act as a back end database for Visual Basic as a front-end tool. Access supports the user with its powerful database management function. Using access beginners can develop his (her own database very simply with some mouse clicks. Access supports lots of data types where a user can incorporate data form other application.

A database created in MS-Access can be accessed through Visual Basic using Active Data Control (ADODC) or an Active data access object. Here database means a collection of related tables means a collection inter-related field. It should be noted that a field in a single entity is used to describe an attribute.

A single table can have any number of indexed fields that can be used to locate records using an expression. This helps in filtering out information according to specific criteria.

A user can move inside a table very easily using the navigator tools supported by the access database. A table can be accessed using snapshot, dynaset and table etc.

Windows XP has Graphics-based multitasking windowing environment that allows programs written specifically for windows to have a consistent appearance and Command structure. This capability makes even new programs easier to master.

Windows XP provides several built-in routines that allow easy implementation of pull-down menus, scrollbars, and dialog box icons and many other feature of a user-friendly graphical interface. Starting with windows 3.0 and continuing through Windows NT, programs can take advantage of new dialog control menu types and owner draw control.

SYSTEM ANALYSIS

Problem Definition

“Audit Firm Management System” is based on the client information, audit plan, job card, billing, and administrative activities. Each element of the Audit firm data is recorded in the Excel sheet, which creates the problem to find out the particular transaction. In Excel the company gets more problem of the absence of structured format.
Once the problem has been defined and terms of reference, establish a feasibility study is undertaken. The scope of this software project is to minimize the risk of handling data on these activities, which gives the effective results.

3.1 Feasibility Study

Many feasibility studies are discussion for both user and analysts. First the study often presupposes that when the feasibility document is being prepared the analysts is in a position to solutions. Second most studies tend to overlook the confusion inherent in system development the constraints and the assumed attitudes. If the feasibility study is to server as a decision documents if must answer three keys questions.
The most successful system project is not necessarily the biggest or most visible in a business bit rather those that truly meet user expectations. More projects fail because of inflated expectation than for any other reason feasibility considerations.
Three keys consideration are involved in the feasibility analysis. Reconsideration is involved in the feasibility analysis, economic, technical and behavioral. Lets briefly review each consideration and how if relates to the systems effort.




Economical Feasibility

Economic analysis is the most frequently used method for evaluating the effectiveness of a candidate system. More commonly known, as cost benefit analysis the procedure is to determine the benefits and savings that are expected form a candidate system and compare then with costs.

Technical Feasibility

The technical feasibility involves the analysis of all possible conditions for obtaining the system. It actually involves a study of function performance and constraints that may affect the ability to achieve an acceptable system. The considerations are normally associated with the technical feasibility include the following,
? Development risk
? Resources availability
? Technology
The development risk concerns the probability the function of all elements and its performance and in the system that is being developed. The system is developed according to the web standards and the development software tools are selected in such a way to avoid the problems sited above.
The resource availability states whether skilled are available to develop the system elements and the availability or hardware and software. The hardware is provided by the organization satisfying all the requirements.

Behavioral Feasibility

People are inherently resistant to change and computers have been known to facilitate change. An estimate should be made of how soon a reaction the user staff is likely to have system. It is common knowledge that computer installations have something to do with turnover transfers retaining changes in employee job status. Therefore it is understandable that the introduction of a candidate system requires special effort to educate sell and train the staff on new ways of conducting business.
3.2 Existing System

At Present all the activities in transaction are handled by MS-EXCEL. As an organization expands in size and function, a stage is reached when this bonded structure become inadequate and inefficient. In Excel each every time the reference should be made. There are high possibilities to commit errors, which leads to produce the wrong statements to the management. Report Generation is also not an easy task.

Limitations Of Existing System

There are a lot of reasons for introducing the new system, they are mainly due to the drawbacks and inefficiency of the existing system.
1. Not able to operated in a LAN environment
2. Cannot able to Configure by the user
3. Problems in updating and backup
4. Time Consuming
5. Possibilities of man made errors.


3.3 Proposed System

The system study investigates the problems and identifies alternated solution, then finally recommends a best solution. The system gives the remedy for the troubles given by the existing system.

Advantages of Proposed System
1. The Proposed system is very user friendly and it allows the user to configure the new settings.
2. Stored data and procedures can be easily updated
3. Accuracy and security of data will be more comfortable for the organization
4. Due to Validation Check in this proposed system avoids the human errors


SYSTEM DESIGN

A system is a combination of resources working together to convert input to usable output system design is a process of translating requirements designed during analysis into several different alternatives for user consideration. In system design a variety tools such as DFD (Data Flow Diagram).

System design is a process of creating alternatives solution, which satisfied the study goals evaluating, and then drawing up specification of the chosen alternatives in the design phase. The detailed design of the system selected in the study phase is accomplished and used specification is converted into technical specification.

4.1 INPUT DESIGN

It is the process of converting the user-originated input to computer-based format. In the system design phase the expanded data flow diagram, identifies logical dataflow, data stores and destination.

The goal designing input data is to make the data entry easy and make it free from logical errors. Thus a careful design of input stages has been taken place by giving attention to error handling controls batching and validation procedures.

4.2 OUTPUT DESIGN
Computer output is the most important and direct sources of information to the user. Efficient intelligible Output design should improve the systems relationship with the user and help in decision making. Output generally refers to the results generated by the system. For many end users on the basis of the output they evaluate the usefulness of the application. Efficient software must be able to produce efficient and effective reports.

4.3 DATABASE DESIGN

Database design defines the method of data organization. The operational data is stored in entries relationship between entries makes up data structure. Data structuring is refined through the process normalization. Entities of the proposed system are normalized up to the normal form. This follows that primary key is defined for every entity that has a unique identification property.

Foreign keys are also defined wherever applicable to ensure data consistency. For developing an efficient database we have to fulfill certain conditions such as

4.4 MENU DESIGN

Screens are created in such a way that is supports orientation and need to jump between the tasks. The help of menus simplifies the interaction between the users on the machine. The Menus reflect the use of GUI

4.5 CODE DESIGN

In Computer Programming code design is manifest in the patterns used by a programmer to express a desired action or outcome. It has been recognized that goof coding design can overcome many of the deficiencies of programming language, while poor coding style is to provide easily understood, straight forwarded, elegant code, the codes are based on the knowledge of the programmer.
The system is developed in the language visual basic 6.0 in this language the odes are written in the code window. The code must be designed in a way that, if the user enters a wrong data it should not accept and should not proceeds further. If the user makes a wrong choice this will shows on error message.


















SYSTEM TESTING


Testing is the last stage of software development before we release the product to the customer. It is the process of exercising of evaluating a system by manual or automatic means to verify that it satisfies between expected and actual results. The testing activities aimed at convincing the customer through demonstration and actual use that the software is solution to the original problem and that both the product and processes that created it are of high quality. It is also used to find the operational reliability of the system and to eliminate any residual errors from previous stages.

5.2 UNIT TESTING:
It is the process of taking program module is running it isolation from input and comparing the actual result with predicted by the specification and design of module.

BLACK BOX TESTING:
Black box testing is a matter a complementary approach that is likely to uncover a different class of errors in the following categories.
? Errors in database structure and external database access.
? Interface errors.
? Performance errors.
? Initialization and termination errors.

WHITE BOX TESTING

White box testing is a test case design method that uses the control structure of the procedural design to derive test case that:
? Exercise all logical decisions on their ‘True’ and ‘False’ sides.
? Guarantee that all the independent parts with module that have been exercised at least once.

5.3 INTEGRATING TESTING:

It is the systematic technique for constructing the program structure and for conducting tests to uncover errors associated with interfacing. The objective is to take module and build program structure that has been dictated by design. These are two types of integration.
? Incremented Integration
? Non-incremented integration.



5.4 ACCEPTANCE TESTING:
Acceptance testing is carried out to evaluate the finished product. This is done by the sponsor and may involve executing typical transactions or using the system on site on a trial basis. It is actually a series of different tests whose primary propose is fully existing the computer based system. Although each test has a different purpose all work should verify that system. The most crucial stage is achieving a successful new system and is giving the user’s confidence is that the new system will work and be effective in the implementations stage. This stage consists of,
? Testing the developed program with sample data.
? Detection and correction of errors.
? Testing whether the system meets user requirements.
? Creating fitters of the system with actual data.
? Making necessary changes as desired by the training user personal.

It involves careful maintaining investing of the current system and its constraints and implementation design of methods to achieve the change over and evaluation of change over methods. Apart form maintenance; these are two major tasks of preparing for implementations are education and training of users and system testing.

The more complex the system being implemented the more involved will be the system analysis and design effort required just for implementation coordinating committee depends on policy at individual organizations. The committee will be a sounding board for ideas complaints and problems in the user department. The Co-ordination and control require careful maintenance and the establishment of schedules.

The system has been tested with sample as data and adequate corrections were made as per user requirements. The user has very little changes of making data entry errors. Since enough validation checks and validation error message are provided in the system. The end user with minimum amount of computer knowledge will able to key in the data and understand the error messages. All reports have been found to satisfy their requirements.

SYSTEM IMPLEMENTATION

After the installation phase is completed and the user is adjusted to the changes created by the system evaluation and maintenance begin. If the new information is inconsistent with the design specification, and then changes have to be made. The important of maintenance is to bring the new system to standards.

User primitives, a crucial facing in the system life cycle is the successful implementations of the new system design. An important aspect of a system analysis job is to make sure that the new system is implemented to established standards. The term implementation has different meaning ranging from the conversion of basic application, to a complete replacement of computer system. Implementation used here is to mean the process of converting a new or revised system design into an operational one conversion is one aspect of implementation.
There are three types of implementation:
? Implementation of a computer system is to replace a manual system. The problem encountered are converting files, training users, creating accurate files and verifying printouts of integrity.
? Implementation of a new computes system is to replace conversion. If not properly planned, there can be many problems some large computer systems have taken as long as a year to convert.
? Implementation of a modified application is to replace an existing one using the same computer. This conversion is relatively easy to handle, provided there are no major change in the files.


SYSTEM MAINTENANCE

System Maintenance is a fact of life in the development of new application system, however the making of changes and adjustments do not necessarily be considered as corrections of errors or the occurrence of problem.
The most frequent changes requested by the end users are the additional information to a report format. Sometimes information requirements may be revised as a result of system usage or changing operational needs.
Often, this need will arise to capture additional data for storage in a database or in transaction files, perhaps it will be necessary to add error deduction feature to prevent system users from inadvertently taking an unwanted action.
The above-mentioned information are realities of the system maintenance.
The new system is well designed and developed with adequate sources for maintenance of the system in future the system is designed in such a way that any additional reports could be generated to fulfill the user’s requirements.
In this system, we are provided with tool tip to the data for all the correct data entry process for maintenance.
